Automate your invoice reminders

Shortening payment times without spending your days on it

We automate overdue invoice detection, escalating reminders and payment-promise tracking, connected to the invoicing system you already use.

Chasing payment is the first task that gets dropped

Chasing an unpaid invoice is pleasant for nobody, requires consistency and always competes with something else. That is precisely the profile of a process worth automating: repetitive, triggered by a date, and expensive when it does not happen.

  • Reminders go out when someone remembers, which means irregularly and rarely at the right time.
  • At any given moment, nobody knows which invoices have been chased, how many times, and with what response.
  • Overdue tracking lives in a spreadsheet held by one person, unavailable when they are on leave.
  • The same reminder goes to a long-standing client three days late and to a chronic late payer.

How we work

01

Reminder rules

Defining the scenario with you: when the first reminder goes out, then the second, when the account manager is notified, when the case moves to collections.

02

Connection

Connecting to your invoicing system or ERP to read the real payment status — the precondition for never chasing a client who has already paid.

03

Automation

Setting up escalating reminders, tailored by client segment, with attachments and a recorded history.

04

Steering

A dashboard of outstanding receivables: overdue, chased, promised, disputed. The subject becomes visible at management level.

What we use

The automation connects to your existing systems: you do not need to change invoicing software to automate reminders.

n8n or Power Automate
The automation engine: due-date triggers, reminder sending, escalation and logging.
Your invoicing system or ERP
The source of truth on payment status, queried through an API or an automated export.
e-Factu
Our own invoicing product, when you would rather handle invoicing and reminders in a single tool.
Email and CRM
Sending reminders from your real addresses and recording the history against the client record.
Power BI or a dedicated dashboard
Tracking receivables, average payment time and how well the reminders actually work.

What you get

  • An escalating reminder scenario your teams can adjust without technical help.
  • Client segmentation: the tone and rhythm are not the same for a strategic account and for a repeat late payer.
  • A complete, searchable history of reminders sent and responses received.
  • A receivables dashboard, updated automatically.

Frequently asked questions

Do we need to change invoicing software?+

In most cases, no. The automation connects to the system you already use, provided it exposes an API or allows an automated export. We check this during framing: it is the main feasibility factor.

Will clients receive an impersonal email?+

That is exactly what we work to avoid. Reminders go out from your addresses, in your company's tone, and vary by client segment and how late the payment is. A well-designed automated reminder is more personal than a batch of manual reminders sent at month end.

How do you avoid chasing a client who has already paid?+

By relying on actual payment status rather than a tracking spreadsheet. That is the purpose of connecting to your invoicing system or bank. A reminder sent in error costs more in client relationship than the automation saves, so this is never handled approximately.

Can we keep manual control over some accounts?+

Yes. The scenario allows clients or cases to be excluded from automation, and a human validation step before escalation. The goal is to remove the repetitive workload, not the commercial judgement.

How long does implementation take?+

A few weeks for a standard scenario connected to a system with an API. Most of that time goes into defining the reminder rules with your sales and finance teams, rarely into the technical work.

What are late payments costing you?

A one-hour conversation is enough to assess feasibility against your invoicing system and estimate the implementation effort.
